Cancellation Policy
 
Poldent Dental Care operates ‘48hrs notice’ appointment cancellation policy.  To cancel an appointment, please contact our reception team. If you fail to cancel, miss, or late cancel the appointment, the deposit will be non-refundable.
 
Please note there is a 7 days cancellation policy for orthodontic appointments such as Full assessment, Bond up & De - bond.   If you fail to cancel, miss, or late cancel the appointment, the deposit will be non-refundable.
 
 
Poldent Dental Care reserves the right to cancel an appointment if  a patient fails to respond to reminder messages, and to offer it to patients awaiting emergency appointments.
 
Poldent Dental Care reserves the right to charge deposits (of up to £50 per appointment) in advance to secure the booking. Please refer to specialist price lists for full T&Cs.  To cancel an appointment, please contact our reception team. If you fail to cancel, miss, or late cancel the appointment, the deposit will be non-refundable. Deposit will be returned only if the patient keeps an appointment and adheres to all policies. 
 
Deposits can be made in cash or card payments only.
 
Rescheduling or delay of appointments by the practice
 
We only reschedule or delay a patient’s appointment in unavoidable circumstances. Because appointments are booked so far in advance, sometimes this does occur. In such cases we will:
 
• Contact the patient as soon as we are aware of the need to reschedule or delay and explain the reason why.
 
• At the time of contact we will offer the earliest next available appointment.
 
• If the patient is unable to commit to an appointment at that contact, we will ask the patient to contact us and will book a new appointment at the earliest time available 
 
Cancellation of an appointment or a missed appointment by the patient
 
Failure to attend is defined as:
 
• Not arriving for an appointment.
 
• Arriving late for an appointment (10 minutes late or more).
 
• Not giving enough notice of not being able to attend (Short Notice Cancellation) – we require 2 full working days’ notice. 
 
Please ensure to arrive on time for your appointment. Patients who are 10 minutes late or more for their appointment may be asked to reschedule, as their treatment may not be possible within the allocated time, causing disruption to the day's schedule.  If we are not able to accommodate you, the deposit will be non-refundable. 
 
Discontinuing care
 
After three (3) missed appointments, the practice may at its discretion choose to discontinue your care.
